Many teams begin by asking which model or software to buy. That is usually the wrong first question. The better question is: where does work repeat every day, and where does that repetition cost time, money, or missed opportunities?

Good first use cases are frequent, rule-based, and easy to measure. If you can measure it, you can tell whether AI improved the business — not just the demo.

Small pilots beat large transformation plans

For resource-conscious teams, the biggest risk is starting too broad. Pick one use case, define one success metric, and test it for two to four weeks. Useful metrics include faster response time, fewer manual steps, higher content output, or fewer repeated questions.

If the result is clear, expand to the next workflow. This keeps investment controlled, gives the team confidence, and avoids spending budget on AI theatre.

The goal is not fewer people. It is better use of people.

AI is most useful when it handles information sorting, first drafts, repetitive execution, reminders, and reporting. People should stay focused on customer relationships, judgment, exceptions, and final decisions.
